1. Introduction

This Privacy Policy explains how The Process Fixer ("we," "us," or "our"), based in Arizona, USA, collects, uses, stores, and protects information when you use the Process Triage Facilitator Portal at https://facilitator-portal.theprocessfixer.com/ and its associated tools (collectively, the "Service").

By using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Service. Questions or requests relating to this Policy may be directed to support@theprocessfixer.com.

2. Information We Collect

We collect the following categories of information depending on how you interact with the Service.

2.1 Information you provide through the submission flow

The public submission flow collects the following data from submitters:

DataDescription
Company access codeUsed to associate your submission with the correct organisation

The submission flow does not ask for your name, email address, or any other personally identifying information. Submissions are linked to your organisation's company record, not to an individual identity, unless you voluntarily include identifying information in your free-text responses.

2.2 Information collected from administrator accounts

When you log in as an administrator via Manus OAuth, we receive and store:

Meet., Process Triage, The System MN (including thesystem.mn.co), and The Process Fixer. These communications may include practical updates, stories, offers, and opportunities related to those brands.

You may unsubscribe from marketing communications at any time using the unsubscribe link in an email or by contacting support@theprocessfixer.com. We use Kit as the service provider that manages this communications list.

4. AI Processing of Submissions

Submissions made through the pain point flow are processed by an AI language model to perform two functions: blame detection (identifying whether the issue is attributable to a process, system, or people factor) and ADTE remedy suggestion (generating a structured recommendation under the Analyse, Design, Train, Enforce framework).

This processing occurs server-side and is used solely to provide triage output within the Service. We do not use your Submissions to train, fine-tune, or improve any AI model. Submissions are passed to the AI provider as transient inputs and are subject to the AI provider's data processing terms. We take reasonable steps to ensure that our AI provider does not retain your Submissions beyond the scope of the immediate request.

AI-generated outputs are informational only. They do not constitute professional advice and should not be relied upon as a substitute for qualified HR, legal, or operational expertise.

5. How We Share Your Information

We do not sell, rent, or trade your personal information. We may share information in the following limited circumstances.

5.1 Within your organisation. Submissions are visible to the administrators of the company account associated with your access code. If you are an employee submitting a pain point, your submission will be reviewed by your organisation's designated administrators. We do not control how administrators use or share that information internally, and you should be aware of your organisation's internal policies before submitting.

5.2 Service providers. We engage third-party service providers who process data on our behalf, including hosting infrastructure, authentication (Manus OAuth), AI processing, and Kit for optional email communications. These providers are contractually bound to process data only as directed by us and are not permitted to use your data for their own purposes.
